We are looking for an experienced Executive Assistant for a London-based investment firm that specialises in the real estate sector.
 
Job description
 
In this role, you will support the senior leadership team in their day-to-day administrative support and calendar management to ensure the smooth running of the office, as well as supporting with ad hoc tasks as required.
 
Mandarin speaking would be beneficial, but not essential.
 
Main Responsibilities:

  • Assist with maintaining financial records, handling invoices, and verifying reimbursement claims.
  • Collaborate with the finance team to support budget management, project tracking, and financial analysis.
  • Liaise with accountants, banks, and external organizations to ensure smooth business operations.
  • Provide day-to-day administrative support to senior executives.
  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Assist in the preparation of presentations, reports, and meeting materials.
  • Support internal and external communications, including drafting emails and maintaining professional correspondence.
  • Conduct market research and gather information relevant to ongoing projects.
  • Help organise company events, client meetings, and site visits.
  • Maintain proper filing systems and ensure confidentiality of sensitive information.
  • Support ad hoc tasks and projects as required.

Ideal Candidate:

  • Currently pursuing or have obtained a degree in Business Administration, Real Estate, Accounting, Finance, or a related field.
  • Strong numerical sensitivity and fundamental accounting knowledge (required).
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • A proactive and flexible attitude, with the ability to work independently.
  • Interest in real estate development and eagerness to learn.
  • Experience in real estate, finance, or investment firms is preferred.
  • Fluent in English; Mandarin proficiency is a plus.
